What we collect
Depending on how you use StudySphere, we may collect:
- parent or guardian contact details, including name, email and an optional phone number
- the student’s name, year level, subjects, learning priorities and information included in an enquiry
- portal account details, assigned subjects, class information, resource access and completion activity
- limited technical information used to keep the website and portal secure, such as request logs and hashed identifiers used to limit abuse
Please only provide sensitive information when it is relevant and you have authority to share it. If sensitive information is provided, we use it only with consent or where the law permits.
How information is collected
We usually collect information directly from a parent, guardian, student or authorised staff member. This can happen through the website enquiry form, tutoring arrangements, portal account setup and normal use of the portal.
Why we use it
We use personal information to:
- respond to enquiries and discuss suitable tutoring support
- arrange and deliver tutoring, classes and learning resources
- operate student and staff portal accounts
- keep records of assigned work, class history and learning progress
- protect the service, prevent misuse, investigate problems and meet legal obligations
StudySphere does not sell personal information and does not use portal activity for advertising.
Storage and service providers
Information is held in access-controlled systems used to operate the website, database, private file storage and portal. We may disclose the minimum information needed to technology providers that host, secure or support those systems, or where disclosure is required by law.
Some service providers may process information outside Australia as part of their global infrastructure. Provider locations can change. You can contact StudySphere if you would like current information about the providers used for your data.
Security and retention
StudySphere uses access controls, private storage, secure session cookies and database permissions to protect portal information. No online service can promise absolute security, so suspected account or privacy issues should be reported promptly.
We keep personal information only for as long as it is needed for the purpose collected, to maintain appropriate education and business records, or to meet legal requirements. Information that is no longer required is deleted or de-identified where reasonably practical.
Cookies
The portal uses essential cookies to keep a signed-in session secure. Hosting and security providers may also set essential security cookies. StudySphere does not currently use marketing cookies on this website.
Access, correction and complaints
You can ask to access or correct personal information held about you or a student you are authorised to represent. You can also raise a privacy concern. Use the StudySphere enquiry form and state that your message is about privacy. We may need to verify your identity or authority before providing access.
We will review a privacy complaint and respond within a reasonable time. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner.
